Trucking dispatch software is the system of record for every load you haul: who booked it, which driver has it, where it is right now, and whether you have the paperwork to bill it. For a carrier with one to ten trucks, the right tool replaces the phone-and-spreadsheet routine that eats two to three hours a day. This page explains what dispatch software actually does at that size, how TruckFlow.ai turns a forwarded rate confirmation into a load and a draft invoice, and how the main approaches compare on cost and effort.

What dispatch software does for a 1-10 truck carrier

Big-fleet TMS demos show route optimization across 400 trucks. That is not your problem. Your problem is that a load lives in four places: the broker's email, your notebook, the driver's memory, and a photo of a BOL somewhere on a phone. Dispatch software for a small trucking company does five jobs, in order.

1. Load intake

A load starts as a rate confirmation from a broker or a purchase order from a direct shipper. Intake means turning that PDF into a structured record: pickup and delivery addresses, appointment windows, commodity, weight, equipment, rate, accessorials, and the broker's MC number. In TruckFlow.ai, you forward the rate con to your account's own intake address or upload the PDF in the app. The AI reads it and builds the load: pickup and delivery stops, dates, commodity, weight, and rate. It also drafts the invoice from the rate. That usually takes about a minute. The new load lands in an approval queue, so you check it before it is booked.

2. Driver assignment

With three trucks, assignment is mostly about who is empty, where, and with how many hours left. If you run Motive or Samsara, connect it to TruckFlow.ai with an API key. Your trucks and drivers are imported automatically, and location and hours of service sync in read-only. When you assign a load, you get suggested drivers based on that data. You still make the call; the software just puts location and hours in front of you instead of making you look them up.

3. Check-ins

The most expensive part of dispatch is the "where are you?" call. It interrupts the driver, interrupts you, and gives you a stale answer. With an ELD connected, TruckFlow.ai shows you where the truck last reported and how many hours the driver has left, so you can answer a lot of those questions without picking up the phone. Arrival and departure times at each stop still matter: they are what you need to bill detention after the two hours of free time most brokers allow, so get them on the BOL or in writing.

4. Proof of delivery

No POD, no payment. Most brokers will not release funds until they have a signed BOL, and a quick-pay request usually needs it within 24 hours. TruckFlow.ai generates the BOL, the rate confirmation, and the invoice from the load record and emails them from the app, so the rest of the packet is ready before the truck delivers. The only piece you are waiting on is the signature, and the sooner the signed copy gets back to you, the sooner you can bill.

5. Invoicing hand-off

Dispatch software should end where accounting begins. In TruckFlow.ai the invoice is drafted from the rate as soon as the rate con comes in, so it is already waiting when the load delivers. You review it and send it to the broker from the app the same day. The AR Aging Dashboard then tracks it through the broker's 30 to 45 day terms and sends payment reminders. More on that on the trucking invoicing software page.

The TruckFlow.ai difference: the rate con does the typing

Most of a small carrier's dispatch day is re-keying. The same load gets typed into a spreadsheet, then a dispatch sheet, then an invoice, and every copy is a chance to get a date or a rate wrong. TruckFlow.ai starts from the document the broker already sent you:

Four ways to run dispatch, compared

There are really four approaches for a small carrier. Each has trade-offs, and the free option is not free once you count your hours.

ApproachMonthly costWhat it does wellWhere it breaks
Phone + spreadsheet$0No setup. Fine at one truck if you never take a day off.Every status update is a call. PODs get lost. Invoicing happens "this weekend." No detention proof.
Load board add-ons (DAT, Truckstop tools)Included with the board, roughly $45-$150Finding freight. Rate benchmarks. Broker credit scores.Stops at booking. No driver communication, no POD capture, no invoicing. You still need something else.
Full TMS (McLeod, TMW, and similar)$300-$1,000+ plus setup feesDeep accounting, EDI, fuel tax, multi-terminal operations.Built for 50+ trucks. Weeks of implementation. Driver app required. Overkill for a 4-truck fleet.
TruckFlow$99-$799Rate con email intake with a draft invoice, approval queue, Motive or Samsara import with suggested drivers, AI dispatch assistant, invoicing and AR, compliance alerts. Live in an afternoon. Not a load board (load boards: on the roadmap, partner API access pending). Not full-ledger accounting; it hands off to your books.

If you are honest about what you spend, the spreadsheet is not free. Two hours a day of phone calls and re-keying is 40 hours a month. At any reasonable value for your time, that is more than $99. And a single lost detention claim on a load that sat five hours is $150-$250 gone. We go deeper on the options in the guide to the best dispatch software for small trucking companies, and on whether free trucking dispatch software is worth the trouble.

Frequently asked questions

How does a load get into TruckFlow.ai?

Forward the broker's rate confirmation to your account's intake address, or upload the PDF in the app. The AI reads it, builds the load with stops, dates, commodity, weight, and rate, and drafts the invoice, usually in about a minute. The load then waits in your approval queue until you review or approve it.

Does trucking dispatch software work for a single owner-operator?

Yes. At one truck you are the dispatcher, the driver, and the billing department. The software's job is to stop you re-keying the same load three times. Forward the rate con, approve the load, and the invoice is already drafted from the rate. Review it and send it from the app when you deliver. The Owner-Operator plan is $99 a month.

Can it pull loads from DAT or Truckstop?

Not yet. Load board integrations (DAT, Truckstop) are on the roadmap, pending partner API access. On any plan you can forward a rate confirmation email or upload the rate con PDF, and the load is created for your approval. You still search and negotiate on the board; TruckFlow takes over once the load is booked.

How does it handle detention?

Detention comes down to two things: the free time and hourly rate on the rate con (usually two hours free), and proof of when the truck arrived and left. Get in and out times signed on the BOL or confirmed by email at the shipper and receiver, so you bill detention with a timestamp instead of an argument. Detention tracking is on the Fleet plan and up. See detention pay for truck drivers for how to negotiate the terms in the first place.

What if the AI reads a rate con wrong?

That is what the approval queue is for. A load built from a rate con does not get booked until you review or approve it, so a wrong date, stop, or rate gets caught before it reaches a driver or an invoice.

Try it on your next load

Getting started is short: create an account with your USDOT number, connect Motive or Samsara if you use one, and forward your first rate con. The trial runs 14 days with no credit card. Start your free TruckFlow trial, or look at the full feature list first.
