The best trucking dispatch software for a small company is not the one with the longest feature list. It is the one your drivers will actually use, that gets invoices out the same day, and that costs less than the problems it solves. This guide ranks seven options for carriers running 1 to 20 trucks, starting with our own product and being straight about where each of the others fits.

How we ranked these

Most "best dispatch software" lists are written by people who have never waited on a driver to text back a POD. We ranked on four things that matter when you are the dispatcher, the owner, and sometimes the driver:

We have not published prices for competitors. Vendors change plans often, and a wrong number helps nobody. Check each vendor's pricing page before you decide.

1. TruckFlow AI

TruckFlow is built for owner-operators and small fleets, and the thing that sets it apart is rate confirmation intake. Forward a rate con to your account's intake address, or upload the PDF, and the AI reads it and builds the load: pickup and delivery stops, dates, commodity, weight, and rate. New loads land in an approval queue so you check them before they are booked. Connect Motive or Samsara with an API key and your trucks and drivers come in automatically, with location and hours of service synced, so you get suggested drivers when you assign a load.

The invoice is drafted from the rate on the rate confirmation, so it is ready to review and send instead of typed up from scratch. AR aging shows you who is 30, 45, and 60 days out, which matters more to a small carrier's survival than almost any other report.

Compliance tracking covers the DOT and FMCSA dates that catch small carriers off guard: UCR, MCS-150 biennial updates, insurance filings, driver medical cards, and annual vehicle inspections. It sends reminders before things lapse.

Best for: 1–20 truck carriers where the owner does the dispatching and retyping rate cons eats the day. Weak spot: if you run a brokerage alongside your trucks, you will want a broker-focused TMS instead.

TruckFlow has a 14-day free trial with no card required. See the pricing page for current plans.

2. ITS Dispatch

ITS Dispatch is the small-carrier dispatch and invoicing tool associated with the Truckstop load board. It has been around a long time and is known for being simple: enter a load, dispatch it, invoice it, and export to your accounting software. Its close relationship with Truckstop is convenient if you already post and search there.

Known for: a low learning curve and a workflow that many one- and two-truck operations have run on for years. Consider: the interface reflects its age, and driver communication is not its core strength. If your dispatch pain is getting updates out of drivers, look elsewhere.

3. Axon Software

Axon is a full trucking management system where dispatch, accounting, payroll, and IFTA are all one integrated database. Enter a load once and it flows to the invoice, the driver settlement, and the fuel tax report without re-keying. That integration is why fleets that outgrow QuickBooks-plus-spreadsheets often land here.

Known for: deep accounting integration and strong support. Consider: it is a serious system with serious setup, and it is generally aimed at fleets larger than a handful of trucks. A one-truck operation will pay for a lot of capability it does not use.

4. Tailwind TMS

Tailwind is a cloud TMS designed for small carriers and brokers, with dispatch, invoicing, document management, and QuickBooks integration. It is generally positioned at the accessible end of the market and handles both carrier and broker workflows, which helps if you occasionally broker out freight you cannot cover.

Known for: a reasonable feature set for the money and broker-carrier flexibility. Consider: driver-side tools are app-based, and compliance date tracking is not a headline feature.

5. TruckLogics

TruckLogics comes from the same company behind ExpressTruckTax, and it shows: the product is strong on the record-keeping side of an owner-operator's business. Dispatch, expense tracking, driver settlements, and IFTA reporting live together, and the fleet-size-based plans are approachable for a one-truck operation.

Known for: owner-operator focus and built-in IFTA. Consider: the dispatch experience is functional rather than fast, and driver updates rely on a mobile app.

6. Truckbase

Truckbase is a newer TMS aimed squarely at small and mid-size asset carriers. It is known for a clean interface, quick load entry from emailed rate confirmations, a driver app, invoicing, and integrations with ELDs and QuickBooks. Carriers that want modern software without an enterprise contract tend to like it.

Known for: fast load entry and a modern interface. Consider: it leans on a driver app for updates, and you should confirm how it handles the compliance dates you care about.

7. Rose Rocket

Rose Rocket is a platform-style TMS for carriers and brokers that are growing. It has customer and carrier portals, a driver app, and an ecosystem of integrations. It shines when you have office staff, a sales function, and customers who want to track their own shipments.

Known for: customer-facing portals and scalability. Consider: it is more system than most 1–5 truck carriers need, and the value shows up once you have dispatchers, not just a dispatcher.

What to look for when buying dispatch software

Will your drivers use it?

This is the whole game. A driver app that is never opened is worse than a phone call, because now you think you have visibility and you do not. Ask yourself honestly how many of your drivers keep apps updated and logged in. If the answer is "not all of them," favor a system that does not depend on drivers opening an app, for example one that reads truck location and hours from the ELD you already run. Our guide to trucking dispatch software goes deeper on this.

How many clicks from delivered to invoiced?

Count them during the trial. Every step between the POD arriving and the invoice leaving is a place cash flow leaks. The carriers that get paid in 25 days instead of 45 are the ones that invoice the same day, with the paperwork attached. If you factor, the same rule applies: clean, complete submissions get funded faster. Read our cash flow and invoicing tips for the full picture.

Does it match how you actually get loads?

If most of your freight comes from two or three brokers who email rate cons, you want fast load entry from those emails. If you live on the load boards, you want board integration. If you have direct shippers, you want customer records and repeat-lane tools. Know your mix before you shop.

Does it track the dates that shut you down?

A lapsed insurance filing or a missed MCS-150 update takes your authority offline and stops revenue instantly. A small carrier rarely has someone whose job it is to watch those dates. Software should. Our DOT compliance guide lists what to track.

Can you leave?

Ask whether you can export your loads, customers, and documents. A vendor that makes leaving painful is telling you something about how they plan to keep you.

Total cost, not sticker price

A $30 tool that costs you two hours a week is more expensive than a $100 tool that gives those hours back. Run your numbers with our cost per mile calculator and put your own time in as a line item. Most owner-operators are surprised by what their dispatching hours cost at their real hourly rate.

Our honest recommendation by fleet size

Whatever you choose, use the free trial with real loads. A demo shows you what the vendor wants you to see. A week of your own freight shows you the truth. For more on running lean, see our owner-operator software overview and dispatch tips for owner-operators.

Frequently asked questions

What is the best dispatch software for a one-truck company?

Something you can set up in an afternoon and that does not require you to be at a desk. For most owner-operators that means a cloud tool that cuts the data entry, built-in invoicing, and a low monthly price. TruckFlow and TruckLogics are both reasonable starting points. Avoid anything that needs an implementation call to get going.

Do I need a TMS or just dispatch software?

Under about ten trucks, the distinction does not matter much. What you need is load tracking, driver communication, document capture, invoicing, and compliance reminders. Call it whatever you like. A full TMS with accounting, payroll, and fuel tax becomes worth its setup cost once you have office staff to run it.

Can dispatch software replace a dispatcher?

No, but it changes what a dispatcher spends time on. A good system removes the phone tag, the "did you get the rate con," and the chasing of PODs. That lets one person run more trucks well. It does not find the loads or negotiate the rates for you.

Is free dispatch software good enough?

Spreadsheets and free tiers work for a single truck with a few loads a week. They stop working when you add a driver, because now the problem is communication and documents, not just record-keeping. We cover the tradeoffs in our guide to free trucking dispatch software.

How long should a trial take to evaluate?

One full week of real loads. Dispatch every load through the software, have drivers send updates through it, and invoice from it. If you are still fighting the tool on day five, it is the wrong tool.
